Terms and Conditions Registration

Please read our terms and conditions upon registering for ISME19


By registering to ISME19, you accept the following Terms and Conditions:

ISME19 is organized by the International Society for Microbial Ecology, a non-profit association, registered at the Chamber of Commerce in Arnhem, the Netherlands (hereinafter referred to “ISME”).

  1. Liability and insurance

Individuals registering to participate in ISME events do so at their own risk.

ISME is not responsible for damage or injury to persons or property during this event. Participants indemnify ISME and all of its affiliated companies, sponsors, servants, agents, officers, directors and employees against any claims for damages incurred by the participants in relation to or arising from the event, as well as against all expenses, losses, damages and costs that may incur as a result of participation in the event. The exception in this is if this damage is caused by a wilful act or gross negligence by ISME (according to Dutch law).

It is the responsibility of the delegate to arrange appropriate health, travel and personal accident insurance cover in connection to their property and themselves for the whole period of the conference.

In case a delegate sustains an injury or illness while participating in any role in ISME19, the delegate hereby authorises any medical or health personnel to perform and administer first aid medical treatment as deemed necessary, and, if required, to seek more specialized medical attention at hospitals and health care institutions.

Delegates hereby acknowledge and agree that they have opted to voluntarily enter this agreement and to assume all risks of loss, damage and injury, including death that may be sustained as a consequence of participation in ISME19. Hereby, all of ISME’s affiliated companies, sponsors, agents, officers, directors, employees are released from any claims, actions, suits or demands of whichever nature arising out of or related in any way to participation in ISME19, including any loss, damage, injury or death sustained by any third party as a result, directly or indirectly, of the delegate’s participation in the event. 

Furthermore, ISME is not liable if it fails to comply with the delegate’s obligations and expectations in case such failure is a result of either natural disasters (i.e. force majeure), such as earthquakes, floods, fire, pandemics, etc. for which no one can be held responsible, acts of violence (wars, riots, terrorism) or performance failures of parties outside the control of ISME (subcontractors, transport problems, etc.).

Neither does ISME claim any responsibility whatsoever concerning underage visitors.
For the ISME Social Gathering – President’s Address, underage visitors (under 18) are not allowed to attend.  

All delegates agree to act according to our code of conduct.

Delegates are aware that all presentations, posters and abstracts given and associated with ISME19 represent the intellectual property of the authors and ISME. Further use of this information (publication, lecture, presentation, education, sales, distribution, etc.) without the consent of the author and ISME is strictly prohibited.
 

  1. Payment 

As ISME has an official charity status, we cannot charge any VAT under Dutch VAT laws.

Registration fees are quoted in Euros (€). Please adhere to the payment instructions of your bank. All banking fees should be covered by the delegate. 

You will receive a registration confirmation via e-mail after your registration is complete.

 

  1. Cancellations 

Cancellations must be notified in writing.

  • Cancellations received until Friday 26 April 2024 will receive a full refund less a € 50 administration charge.
  • Cancellations received from Saturday 27 April 2024 until Sunday 30 June 2024 will receive a 50% refund.
  • Refunds will not be issued for cancellations received after Sunday 30 June 2024.

Substitute delegates will be accepted without charge.

ISME has the right to make changes to the conference program, venue and timings at any time. In the event of force majeure, ISME has the right to postpone or cancel the event. In this case, the organizers shall not be liable for any expenditure, damage or loss incurred by the delegate.
If the event can take place on another date, all made bookings between the delegate and the organizers shall remain in force. If a delegate decides to cancel their participation because of the postponement, ISME will reimburse the registration fee according to the cancellation policy above. For all other costs incurred, the registrant is to refer to their insurance.
If ISME cannot come to an agreement with the venue or other third parties to postpone, ISME may decide to cancel the event. In this case, refunds will not be issued and the registrant is referred to their insurance.
 

  1. Time zone 

Please note that ISME uses Central European Time (CET) as its time zone regarding registration. This implies that all deadlines will pass at midnight CET on the date mentioned.
The times in the conference program will be in the time zone of the venue, namely South African Standard Time.

 

  1. Applicable Law 

Any dispute arising out of or in connection with ISME19, including any disputes regarding the existence, validity or termination thereof, will be subject to Dutch law and will be resolved by the Court in Arnhem, the Netherlands.
